Exhibitor Rules and Regulations
Effective: 3/1/2024
Age Requirement
- All exhibitor personnel must be 21 years of age or older. No one under the age of 21 years old will be allowed in the expo hall at any time including move-in, show days and move-out.
Booth Approval
- If your exhibit space is 20’x20’ and larger or you have a 10’x20’ island exhibit space, you are required to submit the below information for approval.
- Technical Plans to include elevations (indicating the maximum height of build) and all materials used (+ flame retardant certificates).
- Risk Assessment.
- Method Statement.
- Construction Phase plan.
- Copy of your (or your contractors) Public Liability Insurance
- This is a mandatory requirement and plans not received before move-in will not be allowed to start construction until a Floor Manager has assessed these documents. This may lead to delays in your booth being built and restrictions on elements of your booth that are not approved to be in accordance with the show rules & regulations.
- If you have a vehicle exhibition space you are required to adhere to the Clark County and Venetian Las Vegas Vehicle Exhibition Guidelines. You will also be required to complete a vehicle spotting form in the Exhibitor Services Kit prior to your arrival on-site. This information is required to procure fire marshal approval and you will not be allowed to load-in without it.
Booth Height and Line of Sight
- 10’x10’ and 10’x20’ inline booths have a maximum back wall height limitation of 8 feet high.
- The maximum height of 8ft (2.44m) is allowed only in the rear half of the booth space. Side walls between neighboring booths cannot exceed more than 4 feet in height in the front half of the booth.
- Booths that are 400 square feet (20’x20’) or larger have a maximum height restriction of 18 feet high, measuring from the floor to the top of the booth structure or hanging sign.
- All booth displays should be arranged in such a manner so as not to obstruct sight lines of neighboring exhibitors.

Booth Move-out
- Nothing can be dismantled or removed from your booth until after the close of the show.
- Empties will not be returned to you until the close of the show.
- If any part of your booth is dismantled prior to the close of the show you may face any or all of these consequences:
- Your company will not be prioritized for renewal for future years of the show.
- You may not be asked to return in the future.
Cancellation of Exhibit Space by Show Management
- Exhibit space may be canceled by Show Management for failure to make payments when due or failure by Exhibitor to comply with the applicable terms and conditions of this Agreement. If exhibit space is so canceled by Show Management, Exhibitor shall forfeit all payments made and Show Management shall have the right to reassign such canceled space to another exhibitor in its sole discretion without mitigation of such forfeited amounts.
Displays
- Displays in exhibit spaces must be designed and operated in a manner that respects the rights of other Exhibitors and attendees. Displays shall not block or obstruct the view of or create noise or other disturbance for a neighboring or other Exhibitor. All lighting within the exhibit space must be arranged and operated so as not to be distracting to adjacent Exhibitors.
Dress Code
- The dress code during show days is business or business casual. During move-in and move-out, closed toe shoes must be worn inside the expo hall. Anyone who is not wearing closed toe shoes will not be granted access to the expo hall during move-in and move-out.
Internet
- The show will provide WiFi service across the show floor.
- The speed of the event WiFi is sufficient for general internet activity like email and web browsing.
- If you plan on doing any live demos, streaming or require specific internet speeds we recommend purchasing additional internet for your booth.
Lighting
- All lighting within the exhibit space must be arranged and operated so as not to be distracting to adjacent exhibitors. Lighting, fixtures, lighting trusses and overhead lighting must be within the boundaries of the exhibit space and may not shine outside of the contracted space. For example, exhibitors may not shine logos onto the ceiling, aisles, facility wall or adjacent booths, and spotlights may not be mounted to the ceiling outside the boundaries of the exhibit space. Show management reserves the right to remove/turn off any lighting that does not comply and the exhibitor will be responsible for any charges related to this action.
Outside Food and Beverage Policy
- NO OUTSIDE FOOD AND BEVERAGE IS ALLOWED. Catering must be ordered through the conference center. Any special requests beyond these menus have to be placed through the property and will be subject to corkage and handling fees.
- Any food or beverage that is distributed at exhibit spaces may be subject to additional fees from the Event venue. Distribution of certain food and beverage items may be prohibited and advance approval is required.
Power
- Power is not included with exhibit spaces. Power must be ordered through the exhibitor services kit.
- All power cords must be confined to the Exhibitor’s space.
- Exhibitors are not permitted at any time to run power cords across or underneath the exhibit hall aisle carpet or any area outside of their allocated space.
Promotional Materials/Activities
- All promotional materials/activities must be confined to your booth and/or meeting space. Exhibitors are not permitted to distribute promotional materials in any areas outside of their allocated space without prior approval from Show Management.
Registration
- Every attendee must be registered and is required to wear an event badge in order to access any part of the event including sessions, meal functions, networking receptions, meeting rooms, hospitality suites, and the exhibit hall.
- Anyone who requires access to your booth during show hours must be registered for the event.
- EACs will need to get a special band at Registration to access the Expo Hall during move-in and move-out.
Security
- In no case will show management be responsible for theft, loss or damage to Exhibitor’s products or exhibit space or display. Exhibitor agrees that it is wholly responsible for protecting its property on and off the Event premises. Exhibitor is encouraged to have guards or security cages and should insure their property (from the time it leaves their warehouse or place of business until it returns) at their own expense.
Sound
- Sound must be maintained at a level that is not disruptive to neighboring exhibitors.
